On the Job Training - Allow Reviewers to Initiate Workflow

An OJT module can be set to allow the reviewer to start a review even if the student has an existing OJT that has not been submitted, or the module has not been automatically submitted. This can be useful where there is no student side to an OJT, or where reviewers might need to complete ad hoc training on the floor.

If the OJT module is not assigned to the student, a reviewer can initiate the process and this will make a manual assignment to start the review.

In order for the reviewer to initiate the workflow, the following applies

Module settings:

  • The module must allow reviewers to initiate the workflow

Reviewer role settings:

  • The Reviewer must have a role that is allowed to initiate reviews in the role settings.

You may want to ensure that a module has retakes enabled. This will allow a reviewer to initiate a review even if a student has previously completed the module.

Initiating the Workflow as a Reviewer

The review can be initiated from the reviewer’s dashboard, or through development plan administration. Scope for the reviewer’s role applies when searching for users. The module history and submission report will show that the reviewer initiated the submission.

To initiate the review from the reviewer dashboard:

  1. Select Start a New Review

  2. Select the Student and Learning module. If the module is not assigned to the student, this process will automatically assign the module and start the review. Note: this will bypass the student answering any student questions.

  3. Select Start Review

To initiate the review from the Student Development Plan:

  1. Navigate to the student’s development plan.

  2. Click the OJT module assignment so it expands. Then click the Start Review button.

  3. Confirm you wish to skip the student submission phase by clicking Start Review.

     

Considerations for allowing Reviewers to Initiate Workflow

  • For modules without student content, Declinations should be set up as None (approvals only), or Decline and close assignment only. This will prevent modules without content from being returned to the student upon declination.

  • Reviewer initiated modules should not be used with digital signature documents where the student submission will be skipped.
