Group DPA with User List Upload

Group DPA can be used to make/modify assignments or grant progress for a large number of users at once. While you can just use Group DPA's built in filters to determine the users affected, you also have the ability to upload an Excel list of users.

Making your User List

Your user list is simply an Excel spreadsheet with a column that contains the login IDs of the users you want to change. It can have additional columns, but it is best to have column headers, because after you upload the list you will need to select the column that contains the login IDs. 

You can also run a report like the Assigned Learning Module Status Report or the User Report to generate your list of users, which you can then directly upload to Group DPA.


Note: When building your User List in Excel, you will want to make sure that the file does not have any active filters. If you have data filtered out that is not displaying on the spreadsheet, when you go to process the Group DPA, the users that seem “filtered out” will still be included in the Group DPA Job.

Creating a new Rules Based Group DPA Job

First, click the 'Learning Management' menu and then select 'Group Development Plan Administration'. On this page, click the 'Add New' button and select 'Add Rules Based Group DPA Job'.

 

Step 1

Enter a name for your job. Additionally, you can enter a description of the job, which can help administrators understand the purpose of the job when looking at it later. You can also enter your email address to receive a notification when the Group DPA job is complete.

Select a 'Wizard Mode' depending on the action you want to take. Then select the Target Learning Module you want to use for this job.

 

Step 2

To start, find the upper row of the 'Student Filters' section, then press the 'Select' link. This is where you can upload your Excel user list. You will need to select the login ID column as the identifying column to match up with users in the system.

After uploading your user list, you can still select additional filters to further narrow down the list of users affected.

 

Step 3

On this page, you can also filter the users in the job based on their current assignment of the Target Learning Module.

 

The 'Include Curriculum/Administrative/Elective Assignments' checkboxes control which users will be included in the job.  You must select at east one assignment type.  Users with assignments of checked types will be affected by this Group DPA job.

Step 4

On this page, you can also filter based on user progress for other learning modules.

 

Step 5

Here you can select your assignment settings. This step is only available if you are making/modifying assignments.

 

'Override Existing Administrative Assignments' and 'Override Curriculum Assignment'  allow you to control which types of assignments will be affected by this job.  When these boxes are checked, existing assignments will have their due dates altered.  For curriculum assignments, the assignment type will be changed from 'Curriculum' to 'Administrative'.

Step 6

Here you can enter information for the progress status the users will receive. This step is only available if you are granting progress.

 

Step 7

On this final step, you can review your selections before running the job.

We highly recommend running Group DPA jobs as test jobs first. This will allow you to view the results and make sure they are what you expect before you commit the changes. Because Group DPA can affect a large number of users and Group DPA jobs cannot necessarily be undone easily, this is the best practice.
