Uploading and Mapping a Dynamic Document
Compliance and other module types can use dynamic documents to automatically fill in a document with information like the user's name, ID, the current date, etc. This article will show you how to add a dynamic document to Cognition and configure it so it can be used in learning modules.
Table of Contents
Creating the Document
First, navigate to the 'Documents' page found under the Learning tab.
On this page you can search for and edit previously created documents. To add a new document, click the green '+' button at the top right.
On this page, select a name and code and add a description for your document. Be sure to set the 'Type' to 'Dynamic Document'. Click 'Finish' to proceed to the next step.
Uploading a File
When you click 'Finish', you will be brought to this page. You can navigate to the other tabs to fine tune various settings not set during creation and view the logs and learning modules associated with this document. Right now, there is no actual document associated. Click 'Add New Language or Version'.
This modal will pop out. Click the '...' button and select a .pdf file to upload.
Multiple Languages
Cognition supports multiple languages for Documents. Before you can upload a document in another language, you must define that language on the Learning Module tab of System Settings. Once a language is defined, click 'Add a New Language or Version' and select the language in the 'Language' dropdown. Users will now be given the opportunity to select and acknowledge the document in their preferred language.
Mapping the Fields
You now have a .pdf file associated with your document, but, as it stands, this document doesn't actually do anything dynamic. Click 'Map Fields' and a pop-out will appear.
Click on 'Click Here to Map this Field' or any of the links under 'Mapping Field' to map/remap a field. Preview data will automatically be populated. but you can edit it if you wish.
You will then see this modal pop-out. Simply click on an item to map it.
Reviewing and Finalizing
When you're finished mapping the fields and setting preview data, you can click 'Update and Preview' to view your new document. A sample preview screenshot is below.
When you are satisfied with the preview, click 'Update'. Your dynamic document is now ready to be used in Compliance and other modules.
