Global HR Groups are organizational tools that allow you to assign HR managers to oversee the Performance Review process for any grouping of people that you designate. Multiple HR Groups can even be associated with the same Performance Review! Let’s walk through how to add and edit Global HR Groups.

Before getting started in the Performance Management system for this step, it’s a good time to refer back to your Prep Worksheet. Since you noted the HR Groups you’ll be assigning, you can use this to guide the set-up process in CognitionMake sure you have your Excel list of users and corresponding user IDs before starting this step - you’ll need it in order to create new HR Groups! |
Creating a New HR Group
Go to the Cognition Menumenu and select Global HR Groups.

Click on the green Add New button, and then name your group. Use what you wrote down in the Prep Worksheet to determine the Group Name title.
Under the More Options button, cselect select Upload Users.
Next, select an Excel file to upload with a list of Employee IDs for the users that you want to associate with the HR Group. Select Upload Users.
Next, select your Employee ID column from the dropdown.
You will get a short summary of your results including a count of any users not found, users added, and users removed. You can view the details of this count to see which users were not found or removed by clicking the View Details button.
If the summary looks correct to you, click Commit Changes. If you decide not to upload the list, just click Cancel.

Adding Users to an Existing HR Group
To add asingle user to an existing HR group, you can use the selection tool above the grid to search either by name or User ID. |

Once you have clicked on the Menu Options button, you click on Edit Users (yep, even to add a user).
Before you’ve added users, you will see the bottom section in blue with a message of There are no results to show.
Click anywhere in the Select a User to Add {This is another area where you can refer to your Prep Worksheet to find the names to add to each Global HR Group.}
Simply start typing the users name and then Click on the Name once you’ve found it.
You’ll begin to see those blue rows at the bottom populate with the users you have added.

To add multiple users to the HR group, it is best to first download the current user list by clicking on More Options and selecting Download User List. Add the new users to the bottom of the downloaded Excel and then re-upload using the same More Options menu. |
Removing Users from an HR Group
Go to Global HR Groups under the Cognition menu tab.
Locate the appropriate group, click on the menu icon and select Edit Users.

Use the filter box to search for the user by name or User ID and select Remove.

Note that if a Performance Review is already assigned to this user, removing them from the HR Groups will NOT fully delete their Performance Review. The user is now “Ungrouped” and will no longer be able to see/access that Performance Review. The form itself and any data has not been deleted and can still be accessed and recovered by Admins. |
