If you create data in Cognition, you may notice that a lot of things require a code, name, and description, and you may not be sure what to enter. This short guide explains the purpose of each field.

Code

This is a shorthand code that can help you group items together or make it easier to search for certain items.

Learning Modules are a great example of where proper coding can help you keep organized in the long term.

For example, if there is a group of Learning Modules that need to be taken in order and they all have different names, you may want to give them the same code with a number at the end, such as:

• safety1
• safety2
• safety3

With this coding, doing a search for "safety" will bring up all of these Learning Modules. You can also incorporate other things into the coding, such as:

• Department or banner - for content that is specific to a certain audience
• Year and/or month - if you have annual/monthly assignments

Name

This is simply the name or title of what you are creating. While the code is often mostly for administrators, the name may display to both administrators and end users. For example, Learning Modules names display to students, and so do the names of Dashboard Courses.

Description

The description is where you should include any and all details about what the item is and what its purpose is.

Some descriptions are helpful for end users. For example, the Learning Module description displays to students, so often it should explain the content of the Learning Module and provide details or context to the training. Dashboard Course descriptions also display to students.

For other things, the descriptions are often helpful for other administrators. The description can help other administrators understand what they are looking at, and may even help you remember if you are looking at something you created months or years before! (For example: Courses, Curriculums, and Positions)
