What Modules are Currently Assigning Out to Certain User Groups/Job Codes?

For any given user, there could be different factors that are taken into account when determining what assignments they get. In addition to Job Code, there are other data points like hire date, location, work state, full time/part time, and any other extended properties your organization might use.

Here are two ways of looking at what assignments are made to certain user groups.

Combined Position Report

This report shows you 2 things about each Position:

  • The Position’s filters and each filters values

  • The Learning Modules associated with the Position.

With this information, you are able to see at a glance each user group and what is being assigned out to that user group.

If you are looking for things that are assigned to certain Job Codes, you’ll want to find all Positions that filter on those Job Codes. (You can find this out using a Position Filters Report.)

To run the report, simply select all the Positions that you want to look into, and it will give you an Excel sheet with all of this information.

Assigned Learning Module Status Report with pivot (by Job Code)

You can also look at assignments that were made to certain users in the past.

For example, if you want to find out what’s been assigned to new users with a certain Job Code in the past 6 months, you could run this report with the following filters:

  • All Learning Modules

  • Job Code

  • Hire Date on or after 6 months ago

The report will then give you all applicable assignments. To only view automatic Curriculum Assignments, make sure to remove Elective and Administrative assignments under the “Assignment Type” column.

Optionally, you can use a pivot table on the data to do some analysis by Job Code or some other data point.

Once you get this information, you can then look into any Learning Modules of interest and look at what Positions they are associated to.

Create a Test User

Sometimes creating a test user is the easiest way to see what assignments a certain type of user would receive when they are hired. Create a user with the correct properties, such as Job Code, and then look at the user’s Development Plan. Make sure the user account is set to “Report Excluded”.

Also note that one test user might not give you the complete picture. For example, there might be state-specific assignments for users in California, but if your test user is set to a different state, then you won’t see those assignments on their Development Plan. This goes for any other user properties that might vary.

Other helpful reports

These reports are all found on the “Reports” menu and may be helpful:

  • Learning Module Report - an Excel report that lists Learning Modules and properties of each module

  • Position Assignment History report - for each Position, shows what Learning Modules are associated the the assignment properties

  • Position Filters report - only lists Position filters and what Positions they are used in
