The file that we typically receive have the following specs.

File Format

The file is typically a comma delimited file with double quoted values.  Each associate is on a single line.  The file must contain the following fields:

  • Associate ID — This is unique identifier of time.  It can also be what they use to login with.

  • Login ID — If you want something other than the Associate ID

  • First Name

  • Middle Name (Optional)

  • Last Name

  • Job Code — This is a look up value for their job in the company.  We can also take a job code feed from you if this is changing often.

  • Location Code — This is a look up value for the 

  • Hire Date — Date if Hire

  • Status — This is usually Active or Terminated.  You can send us other values, but they would be boiled down to active or terminated.  

  • Division — If you have multiple divisions.  We can talk about if this even applies to you.  Sometimes this can be Corporate/Stores/Warehouse.  

We can also have as many additional fields as you see fit. Here are some common fields that we get from other customers. The most common fields are bolded.

  • Department

  • Hourly/Salary

  • Salary Grade

  • Salary Plan

  • FullTime/PartTime

  • Exempt/Non-Exempt

  • Age

...

  • – This is usually translated into age categories like 16-17, 18-21.

  • Education Level - (Diploma, Associates, Bachelors …. Etc). 

  • FLSA Type (Important in California, New York, Connecticut, Illinois)

  • isSupervisor

  • AssociateType 

  • WorkGroup

  • Comp Group

  • Cost Center

  • Expense Center

  • Job Family — These can be better than job codes sometimes.

  • Job Sub Family 

  • Success Level

  • Functional Area

  • Onboarding Stage (Week 1, Week 2, Week 3, Week 4, Week 5).

File Name

The file can be named anything, we just ask that the file is always named the same.

File Contents

The file typically contains all active associates and all terminated associates for 90 days. We can do Delta files only, but we prefer full files to ensure data integrity.

Frequency

All of our customers send us an import daily. This is typically processed between 12 AM and 6 AM.

File Transfer and Security

We have a secure SFTP server where the files can be deposited. Alternatively, we can retrieve the file from a server you host. Also, most of our customers encrypt the file with our PGP key so that the file is encrypted both in transfer and at rest at all times.
